Information used by the app

We handle account details, business profiles, client contact details, saved services and rates, invoices and estimates, line items, uploaded logos and signatures, job notes, closeout conversations and billing preferences. Usage and technical records help operate the app, enforce limits, troubleshoot problems and prevent abuse.

Stripe handles subscription payments on its hosted pages. InvoiceAloud stores customer identifiers and uses subscription and payment status to manage your access. Full card numbers and card security codes are not entered into InvoiceAloud.

Voice and AI features

Voice entry uses your browser's speech recognition. Depending on the browser, recognition may process audio through its provider. InvoiceAloud uses the resulting transcript; its voice feature does not create or store an audio recording in your workspace. Your browser controls microphone permission.

When you request AI parsing or closeout assistance, relevant transcripts, job details, evidence, saved rates and billing preferences are sent to OpenAI to generate suggestions. Closeout conversations and results may be saved in your workspace. Submit only information necessary for the job, and review suggestions before using them.

Providers and purposes

Base44 provides hosting, authentication, database storage and platform services. OpenAI processes requests made to the AI features. Stripe processes subscription billing. Resend processes invoice emails, recipient details and attachments when you choose to send them. Support emails are handled through our email services and forwarded business inboxes.

Information is used to provide your workspace and requested features, send documents you choose to send, manage billing, respond to support requests and protect the service. Providers handle information under their own terms and privacy practices. Processing may take place outside your country. Information may also be disclosed when legally required or necessary to address fraud or protect rights.

Sessions, storage and access

Authentication and essential browser storage support sign-in and app settings. Base44 and payment providers may use cookies, technical logs and platform analytics to operate their services.

Private workspace records require account authorization. When a business creates and shares an estimate approval link, anyone holding that link can view the saved estimate, business contact details and client name without an account. Pending links expire after 30 days and can be revoked by the business. Approval records include the estimate copy, typed signer name, acceptance date and consent wording. These records remain in the business workspace. Changes to an estimate require a new approval. Public product and policy pages contain no client or invoice records. Protect your password and use only information you are authorized to provide; no online service can guarantee absolute security.

Your choices and deletion requests

You can edit your workspace details and choose whether to use voice, AI or email features. For access, correction, export or account deletion requests, email support@invoicealoud.com from your account address. We may verify your identity before acting. Do not send full card details or unnecessary sensitive information.

Canceling a subscription stops renewals; it does not automatically delete your account or records. Stored workspace data remains unless you remove it through available controls or request deletion. Billing, security, legal records and provider backups may remain where needed for those purposes or under provider retention practices. We do not promise immediate removal from every provider or backup.
